Help — Setting Up Your Balaay Receptionist

Eight answers: building your receptionist from your website, checking what it learned, testing it before real customers call, forwarding your line, pausing it, action receipts, Call Truth, and what lands in Needs You.

Balaay is set up once and then answers your phone, so the questions that come up are the ones you hit while doing it — not the ones a phone system generates for years afterwards. These are the eight, each with the part people get wrong underneath it. Every answer below describes behaviour the product has today; where Balaay declines to do something, that is stated as the behaviour rather than omitted.

Balaay is an AI receptionist for businesses that run on calls. Balaay is an AI receptionist for businesses that run on calls. It learns a business from that business’s own website, answers its phone, holds the conversation, takes the next step where it can, and records what it actually did.

Eight things worth knowing

01

How do I build my receptionist?

Paste your website address on the home page. Balaay reads your site the way a new receptionist would — your services, your hours, the questions you get asked, your address and phone — and builds a receptionist from it. It takes about twenty seconds and you do not need an account.

You will get a phone number you can ring straight away. Without an account it is held for seven days and then goes back to the pool — create one and it is yours, and once real calls are arriving on it, it is never reclaimed.

02

How do I check what it learned?

Everything Balaay read is listed with the page it came from, so you can click through and see the source. Facts fall into three groups: ones it is confident about, ones it read from your wording and wants you to confirm, and ones it could not find at all. It will not tell a caller anything from the third group.

Confirming a fact takes one tap and makes it permanent — a later website change cannot silently overwrite it.

03

How do I test it before real customers call?

Ring the number Balaay gave you. It answers as your business. Ask it the hardest thing a customer has ever asked you, and then ask it something your website does not answer — a price you only quote on the phone is the usual one. It should say it does not know and offer to have someone follow up.

If it invents an answer instead, tell us. That is the failure that matters most.

04

How do I send my real calls to Balaay?

You keep your existing number. You set one diversion with your phone provider so calls reach Balaay — either every call, or only the ones you do not pick up. We show the exact steps for your provider where we have verified them, and plain instructions where we have not, because a dial code that fails silently is worse than no code.

The step only ticks when a real call actually arrives. A button press is not evidence that a diversion works.

05

How do I pause it?

Set the mode to off in Phone settings. Balaay stops answering immediately. If your provider is still diverting calls to it, callers hear a short neutral message rather than a receptionist — Balaay will not speak in your name while it is switched off — and we tell you the diversion is still live so you can remove it.

Off means off. That is enforced when the call arrives, not just in the setting.

06

What is an action receipt?

After every call, Balaay shows what the caller asked for, what it understood, what it tried to do, and which of those it could independently confirm. A booking is only shown as confirmed once the record has been read back and matched.

When something could not be confirmed it says so rather than showing a tick. That is the whole point of the feature.

07

What is Call Truth?

The record behind one call: both sides of the conversation with timestamps, what Balaay did at each point and how it confirmed the result, and anything it SAID that its own record does not back up. Every entry links to the moment in the call it came from.

It exists so you can answer "did that actually happen" without taking anyone's word for it, including ours.

08

What lands in Needs You?

Only things a person has to deal with, and only when they came from something that actually happened: a caller who asked for a human and did not get one, an urgent call that was not escalated, an action that failed or could not be confirmed, or a fact your website now contradicts.

Nothing is added by hand and nothing stays once it is resolved. It is not a task board.
