Balaay is an AI voice receptionist for dental practices. It answers the practice’s phone calls, books the appointment and texts the patient a confirmation, and escalates urgent calls to staff using rules the practice defines.
These terms appear in Balaay’s product, its benchmark, its marketing and any future case study. They have one definition each, used everywhere, so a figure cannot quietly change meaning between a research table and a sales page.

| Verified appointment | An appointment that exists in the authoritative schedule after the call, whose details match what the caller was told, confirmed by reading the committed record back rather than by assuming the write succeeded. An appointment the system says it made is not a verified appointment. |
| Call handled | A call that connected and in which a conversation began. A failed connection attempt is not a handled call, and is never counted as one. |
| After-hours call | A call arriving outside the practice’s configured opening hours, in the practice’s own timezone. |
| Staff handoff | An outcome in which the system stopped attempting to complete the task and passed it to a person, together with a structured record of who called, what they wanted and why it was handed over. A handoff without that record is an incompletion, not a handoff. |
| Safe refusal | The system declined an action or an answer it could not perform or substantiate, said so in terms the caller could act on, and offered the route that does work. Refusing a task the system is configured to perform is an over-refusal, not a safe refusal. |
| False success | An assertion to the caller that an operational action occurred when it did not — booked, changed, cancelled, sent, notified, verified. Treated as categorically worse than an incompletion, because a failure the practice can see is recoverable and one it cannot see is not. |
| Verified action | Any action whose completion was confirmed against the authoritative system afterwards, rather than inferred from the absence of an error. |
| New-patient inquiry | A call from someone with no existing record at the practice who asked about becoming a patient. Distinct from an appointment request, which is distinct again from a verified appointment — these are separate funnel stages and are never collapsed. |
