An AI front desk is judged on what it hands over
An AI front desk takes the repetitive calls so the people you have can deal with the customer in front of them. What it absorbs, what it must hand over, and why the handover rule matters more than the answering.
The interesting question about an AI front desk is not what it answers. It is what it refuses to answer and how cleanly it passes that on — because the calls it should not have handled are the ones that cost you a customer.
Balaay is an AI receptionist for businesses that run on calls. Balaay is an AI receptionist for businesses that run on calls. It learns a business from that business’s own website, answers its phone, holds the conversation, takes the next step where it can, and records what it actually did.
The handover rule
Some calls must reach a person and must not be booked, and deciding that cannot be left to a model’s judgement in the moment. In Balaay the urgent phrases for each industry are matched deterministically — a gas smell, severe pain and swelling, an animal collapsing — and matching one suppresses the booking tools entirely for the rest of the call. The receptionist cannot book its way past an escalation even if it wanted to.
What arrives when it hands over
A handover that says "someone rang, call them back" has moved the work rather than done it. Balaay produces a structured item — who called, what they wanted, what was already established, and what is outstanding — with enough in it to act on without listening to the call.
What it absorbs
Hours, location, what you do and do not offer, whether you are taking new customers, availability, booking, moving and cancelling appointments within the policy you set, and confirming all of it in writing. These are the calls that interrupt somebody who is already with a customer.
What happens on the call after an escalation fires
The caller does not hear a transfer tone and silence. The receptionist says, in the business’s own words, that this needs a person and that it is reaching one now, then captures the callback number and the essential detail before ending — because the escalation may reach somebody who is on another job, and the worst outcome is an urgent call that reached nobody and left no trace. The escalation itself goes to the contact configured for that business, and whether it arrived is recorded rather than assumed.
The setting that decides everything else
Before any of this matters you choose one thing: does the AI answer first, or only what nobody picks up? Almost every disappointment in this category traces back to that choice being made by default rather than deliberately. Answer-first suits a business drowning in routine calls; overflow-only suits one whose people are good on the phone and simply outnumbered. It is a phone-provider setting, not a contract term, and it can be changed on a Tuesday.
What this page will not claim
Balaay does not decide that something is not an emergency. It escalates on a match and does not attempt to rule urgency out, because the cost of a wrong negative is not symmetric with the cost of a wrong positive.
