What an AI receptionist actually does

An AI receptionist answers your business phone, holds a real conversation, and completes the next step instead of taking a message. What that means in practice, what it cannot do, and the four questions worth asking any vendor before you buy.

An AI receptionist answers your business’s inbound calls, holds a spoken conversation, and completes the routine next step — booking the appointment, capturing the job — rather than taking a message for somebody to work through later. That last clause is the whole category, and it is also where most of the difference between vendors sits.

Balaay is an AI receptionist for businesses that run on calls. Balaay is an AI receptionist for businesses that run on calls. It learns a business from that business’s own website, answers its phone, holds the conversation, takes the next step where it can, and records what it actually did.

The four questions that separate them

Every vendor in this category says it answers calls and books appointments. Those two sentences are true of all of them and therefore tell you nothing. These four are not.

What it is not

Three adjacent things get called AI receptionists and are not. An IVR asks you to press a number. A chatbot answers typed questions on a website, which is not where most bookings happen. An answering service employs people to take messages — it is a different product with different economics, and for some businesses it is the right one.

What it costs, and what the price usually hides

Pricing in this category is commonly per call, per minute, or by quote. The consequence is that you cannot compare two vendors without knowing your own call volume, and a quote-only vendor makes that comparison impossible on purpose. Balaay publishes both halves: $29/mo includes 250 voice minutes, $79/mo includes 1,000 and $149/mo includes 2,000, and minutes past the allowance are $0.15, $0.10 and $0.08 respectively. Knowing both numbers is what lets you work out your own bill before you buy.

A worked example of the first question

Ask a vendor how it knows a booking happened and listen for which of three answers you get. "The API returned 200" means the request was accepted, which is not the same as the appointment existing — a 200 with a validation error in the body is common. "We log it" means there is a record of the attempt. Only "we read it back from the schedule and compare it against what we intended" is verification, and it is the only one that catches a write that silently landed in the wrong calendar or the wrong day. The difference shows up on the day a customer arrives to nothing, and not before.

What this page will not claim

Balaay schedules against its own book. If you keep a separate calendar Balaay does not read, a slot taken there is still offerable — which is a real limitation of every AI receptionist that has not built a verified two-way connector, including this one.
